The Approval Workflow

MuniMins uses a four-stage workflow to track the status of your minutes:

Draft — The initial output from processing. Minutes start here. This is where you review, identify speakers, and make edits.

Reviewed — Indicates someone has reviewed the draft. Use this when the initial review and speaker identification is complete and the minutes are ready for a second look or formal approval.

Approved — The board or designated authority has approved the minutes. This is typically done at the following meeting when minutes are formally approved by vote.

Published — The final state. Minutes are considered the official record.

Moving between statuses

On the minutes view page, use the status controls to advance or move minutes back. You can go in either direction — if approved minutes need a correction, move them back to Draft, make the edit, and advance them again.

Who can change status

On Standard, the owner and all members can change status. On Complete with board-level permissions, only users with access to that board can change its minutes' status.

The workflow is flexible

Some municipalities will use all four stages formally. Others might skip Reviewed and go straight from Draft to Approved. Use whatever matches how your board operates.
