What if I use a personal email like Gmail?
MuniMins requires a work email to sign up. Since we use your email domain to connect people to the right municipality, personal email services like Gmail, Yahoo, or Outlook.com can't be used — there's no way to tell which municipality you belong to. If your municipality doesn't have its own email domain, reach out to us at info@munimins.com and we'll help you get set up.
What if someone from my municipality already signed up and I don't know who?
When you try to sign up with a matching email domain, MuniMins will let you know that an organization already exists and send an access request to the Organization Owner. You don't need to know who they are — they'll get notified and can approve you.
Can two departments in the same municipality have separate organizations?
No — and that's by design. All boards and committees within a municipality share one organization. This keeps your minutes, boards, and team in one place. You can control who sees what through board assignments and roles.
What if our municipality has multiple email domains?
The organization is tied to the domain used at signup. If your municipality uses more than one domain (for example, townofwilton.gov and wiltonschools.org), contact us and we can help make sure everyone ends up in the right place.
What happens if the Organization Owner leaves?
Ownership can be transferred to another person in the organization. The municipality's minutes, boards, recordings, and settings all stay exactly where they are. Nothing is lost.
Minutes & Processing
How long does processing take?
A typical two-hour meeting processes in a few minutes. Longer recordings or poor audio quality may take longer. You don't need to keep the page open — processing runs in the background.
Can I edit minutes after they're generated?
Yes. Minutes are generated as a draft. You can edit the text, correct speaker names, fix vote counts, and make any other changes before moving them through the approval workflow.
Can I regenerate minutes at a different detail level?
Yes, on Standard and Complete plans. Click Regenerate on the minutes view page and select a new detail level. The minutes are rewritten from the same recording data without needing to re-upload.
Does MuniMins create agendas?
No. MuniMins is focused entirely on turning recordings into minutes. It doesn't build, distribute, or store agendas. Your board keeps doing agendas however they already do them.
Speaker Identification
Do I need a microphone for each speaker?
No. MuniMins works with a single recording source — even a camera at the back of the room. The AI separates speakers by their voice characteristics, not by microphone.
What if the system identifies someone incorrectly?
Click the wrong name in the transcript, select the right person from the dropdown, and confirm. This corrects the current minutes and improves the voice profile for future meetings.
Does speaker identification work with YouTube uploads?
Yes, as long as diarization is enabled for your plan. The audio is extracted from the video and processed the same way as file uploads.
Can I reset a voice profile?
You can remove the individual from members or participants to clear their profile. However, we recommend just continuing to confirm them correctly — the profile self-corrects over time as new data replaces old.
Plans & Billing
Can my town try MuniMins?
Yes. Any town can sign up for a free 30 day trial. The trial has a 10-meeting limit which is plenty to allow you to test functions like voice training.
What happens when my trial ends?
Your town will need to sign up to continue to use MuniMins. All existing minutes will be preserved for 30 days in accordance with our account closing policy.
