MuniMins LLC ("we," "us," or "our") operates the MuniMins platform at munimins.com (the "Service"). MuniMins is a cloud-based service that helps municipal organizations generate formal meeting minutes from audio and video recordings.

When you upload a recording, it is processed using automated transcription and artificial intelligence technologies to generate meeting minutes. Recordings and transcripts are stored securely and are accessible only to authorized users within your organization. We do not use your recordings or meeting content to train AI models.
The recordings processed through our Service are of public government meetings and are matters of public record. The privacy rights of individuals whose voices or identities appear in these recordings are governed by the open meetings laws and public records statutes of their respective state or jurisdiction. MuniMins does not make independent determinations regarding the public record status of uploaded content — that responsibility rests with the uploading organization.
MuniMins uses voice identification technology to recognize and label speakers across meeting recordings. This process creates voice profiles based on audio from public government meetings. Individuals who appear in these recordings may request the removal of their voice profile by writing to us at privacy@munimins.com with their name and address. Upon verification, we will delete the existing voice profile from our system. However, please be aware that any subsequent meetings in which the individual speaks will generate a new voice profile as part of normal processing. Because these recordings are public records, individuals cannot prevent their identification in future meetings processed through the Service.
We employ third-party companies and services to facilitate and support the operation of our Service. These third parties may have access to your information solely to perform tasks on our behalf, such as hosting, payment processing, transcription, data analysis, and email delivery. They are contractually obligated not to disclose or use your information for any other purpose.
